A: Broadly speaking, “すみません” has three main uses: apology, calling out to someone, and gratitude.
To use “すみません” correctly and to understand what it means when you hear it, it is important to look at the situation and context at that moment.

Apology

It is used when the speaker has done something wrong to the listener.

[Examples]
(When accidentally stepping on someone’s foot)
「すみません。」

(When the speaker realizes there is a mistake in the documents prepared by someone else)
A:作つくってくれた書類しょるい、ここが間違まちがっているよ。
B:あ、すみません。すぐ直なおします。

A: The document you made, there’s a mistake here.
B: Oh, sorry. I’ll fix it right away.

Calling Attention

It is used when the speaker has something to say to the listener or wants to ask for something.

[Examples]
(When wanting to place an order with a waiter at a restaurant)
「すみません。」

Excuse me.


(When needing some help)
A:すみません、ちょっと手伝てつだってくれませんか。
B:はい、いいですよ。

A: Excuse me, could you help me for a moment?
B: Yes, of course.

Gratitude

In this usage, the speaker uses “すみません” in response to an act of kindness or help from the listener that they did not expect.

Because “すみません” also has the meaning of apology, some people may wonder, “Why is it also used to express gratitude?”

The exact reason is not clearly known, but in Japanese, when someone does something for you, it is common to express not only gratitude but also the feeling of “I’m sorry to have caused you trouble.”

For that reason, “すみません” is sometimes used with a meaning close to “ありがとうございます.”

[Examples]
(When helped by a stranger while lost)
A:どうしたんですか。
B:実じつは駅えきまでの道みちに迷まよってしまって。
A:一緒いっしょに行いきましょうか。
B:え、すみません!

A: Is something wrong?
B: Actually, I’m lost and trying to get to the station.
A: Shall I go with you?
B: Oh, thank you so much!

(When someone offers to carry something)
A:荷物にもつ、重おもそうですね。持もちましょうか。
B:どうもすみません。

A: Your bags look heavy. Shall I carry them for you?
B: Thank you very much.
